Getting started

Capture your first screenshot

  1. Take a screenshot like normal (side button + volume up).
  2. Tap the screenshot preview that appears in the bottom-left.
  3. Tap the Share icon.
  4. Choose CaptureMind from the share sheet. Tap Save.

That’s it. The OCR runs immediately and the AI summary is generated as soon as you’re online.

Record your first meeting

  1. Open CaptureMind and tap the Record tab.
  2. Tap the large red button. Grant microphone access when prompted.
  3. Lock your phone — recording continues in the background. The Dynamic Island shows a live waveform.
  4. Open CaptureMind again and tap Stop. Your transcript is already in hand, and the summary, decisions, and action items are ready in seconds.

AI features and CaptureMind Pro

AI summaries, transcripts, and Ask Deeper work out of the box — no API key required. The free plan includes a monthly AI allowance. For unlimited AI, priority processing, and cloud sync, subscribe to CaptureMind Pro in Settings.

Prefer to keep audio on your device? Turn off Settings → Realtime cloud transcription to transcribe meetings entirely on-device.

Frequently asked questions

Does my data leave my phone?

Your captures live on your device. When you use an AI feature (summary, realtime transcription, or Ask Deeper), the relevant content is sent to CaptureMind’s servers and processed for you through Google’s Gemini API. We don’t keep that content after the request — only usage metadata for your quota and billing.

Realtime cloud transcription is optional: turn it off and meetings transcribe on-device. Ask Deeper chat history is stored only on your device. Everything else — OCR, transcripts, summaries, action items — lives in your iOS App Group container and is yours alone.

What happens if I lose my phone?

Your captures are stored locally. With CaptureMind Pro, cloud sync keeps your library available across your devices, so you can restore it after signing in on a new phone. Without Pro, enable iCloud Device Backup so your captures can be recovered.

How much does CaptureMind cost?

CaptureMind is free with a monthly AI allowance that’s plenty for personal use. CaptureMind Pro is an optional monthly subscription that unlocks unlimited AI, priority processing, and cloud sync. It auto-renews and can be cancelled anytime in Settings.

Can I record meetings without my colleagues knowing?

Technically yes. Legally, often no. Many jurisdictions (including California, Florida, Washington in the US; most EU member states) require all-party consent before recording a conversation. You are responsible for obtaining consent where required. We strongly recommend announcing the recording at the start of every call.

Why is my summary inaccurate?

AI models hallucinate. Heavily-accented speech, multiple overlapping speakers, low audio quality, or jargon-heavy content all reduce accuracy. The transcript tab shows the raw model output — use it to verify anything important.

The processing queue is stuck. What do I do?

Check that you have an active internet connection and that you’re signed in. If you’ve reached your plan’s monthly AI allowance, the item waits until your quota resets or you upgrade to Pro. If a request fails repeatedly, the item is marked failed — tap the item and choose Retry.

Can I export my data?

Yes. In a meeting or screenshot detail, tap the Share icon and choose a destination (Notes, Mail, Files, etc.). Bulk export to JSON is on the roadmap.

Does CaptureMind work offline?

The capture step is fully offline — OCR runs on-device and audio is recorded locally. Meeting transcription can run on-device too: it’s the automatic fallback when you’re offline or when you turn off realtime cloud transcription. Cloud AI summaries need a connection — offline items queue up and process automatically when you reconnect.

I have an Apple Watch / iPad. Are they supported?

Not in v1. The current scope is iPhone only (iOS 17+). iPad and Apple Watch companion are on the roadmap.

Troubleshooting

If something breaks
Send a screenshot of the issue and your iOS version to bugs@capturemind.app. We respond fastest when we have a reproduction.

The Share Extension doesn’t appear in the share sheet

  1. Open the share sheet. Scroll the icon row all the way to the right.
  2. Tap More.
  3. Toggle CaptureMind on. Optionally drag it to the top.

Recording stops when I lock the phone

Check that Settings → CaptureMind → Background Audio is enabled. If it’s missing, reinstall the app to re-prompt for the background mode entitlement.

OCR is missing words

Vision OCR works best on screenshots taken on the device. Photos of paper documents, dark mode UIs, or extremely small fonts may produce sparse output. Try increasing screen brightness or zooming before screenshotting.

AI features aren’t working

  1. Check that you have an active internet connection.
  2. Make sure you’re signed in under Settings → Account.
  3. If you’ve reached your plan’s monthly AI allowance, wait for it to reset or upgrade to CaptureMind Pro for unlimited AI.

Delete my account
