Getting started

Capture your first screenshot

  1. Take a screenshot like normal (side button + volume up).
  2. Tap the screenshot preview that appears in the bottom-left.
  3. Tap the Share icon.
  4. Choose CaptureMind from the share sheet. Tap Save.

That’s it. The OCR runs immediately and the AI summary is generated as soon as you’re online.

Record your first meeting

  1. Open CaptureMind and tap the Record tab.
  2. Tap the large red button. Grant microphone access when prompted.
  3. Lock your phone — recording continues in the background. The Dynamic Island shows a live waveform.
  4. Open CaptureMind again and tap Stop. The recording lands in your Library, queued for AI.

Configure your AI keys

  1. Visit aistudio.google.com to get a free Gemini API key.
  2. In CaptureMind, go to Settings → AI Providers → Gemini API Key.
  3. Paste your key. The status flips to “Connected”.

Frequently asked questions

Does my data leave my phone?

Only when you ask for an AI summary. The screenshot or audio file is sent directly from your device to the AI provider you configured (Gemini or Claude), using your own API key. CaptureMind does not proxy or store that data.

Everything else — OCR, transcripts, summaries, action items — lives in your iOS App Group container and is yours alone.

What happens if I lose my phone?

Your captures are stored locally and are not backed up to our servers. If you don’t have iCloud Device Backup enabled, your captures cannot be recovered. We’re working on optional encrypted cloud sync.

How much does Gemini cost?

The Gemini 2.0 Flash free tier covers ~1,500 requests per day, which is more than enough for personal use. If you exceed that, billing is metered by Google and visible in your Google Cloud console.

Can I record meetings without my colleagues knowing?

Technically yes. Legally, often no. Many jurisdictions (including California, Florida, Washington in the US; most EU member states) require all-party consent before recording a conversation. You are responsible for obtaining consent where required. We strongly recommend announcing the recording at the start of every call.

Why is my summary inaccurate?

AI models hallucinate. Heavily-accented speech, multiple overlapping speakers, low audio quality, or jargon-heavy content all reduce accuracy. The transcript tab shows the raw model output — use it to verify anything important.

The processing queue is stuck. What do I do?

Check that you have an active internet connection and that your AI key is configured in Settings. If a request fails repeatedly, the item is marked failed. Tap the item and choose Retry.

Can I export my data?

Yes. In a meeting or screenshot detail, tap the Share icon and choose a destination (Notes, Mail, Files, etc.). Bulk export to JSON is on the roadmap.

Does CaptureMind work offline?

The capture step is fully offline. OCR runs on-device. Audio is recorded locally. AI processing requires a network connection. When you go offline, items queue up; when you come back, they process automatically.

I have an Apple Watch / iPad. Are they supported?

Not in v1. The current scope is iPhone only (iOS 17+). iPad and Apple Watch companion are on the roadmap.

Troubleshooting

If something breaks
Send a screenshot of the issue and your iOS version to bugs@capturemind.app. We respond fastest when we have a reproduction.

The Share Extension doesn’t appear in the share sheet

  1. Open the share sheet. Scroll the icon row all the way to the right.
  2. Tap More.
  3. Toggle CaptureMind on. Optionally drag it to the top.

Recording stops when I lock the phone

Check that Settings → CaptureMind → Background Audio is enabled. If it’s missing, reinstall the app to re-prompt for the background mode entitlement.

OCR is missing words

Vision OCR works best on screenshots taken on the device. Photos of paper documents, dark mode UIs, or extremely small fonts may produce sparse output. Try increasing screen brightness or zooming before screenshotting.

I’m getting “API key invalid” errors

  1. Verify your key in your AI provider’s console.
  2. Re-paste it in Settings → AI Providers.
  3. Make sure the model (Gemini 2.0 Flash / Claude 3.5 Sonnet) is enabled on your provider account.

Delete my account

You can permanently delete your account and all associated server-side data at any time. See the dedicated Account Deletion page for step-by-step instructions.
